Lodging Approval
The starting time for a conference is the time of the opening general session and not when registration begins.
Conferences/meetings beginning prior to 9:00 a.m.
Staff traveling 90 miles one way from their duty station, are approved for lodging the night prior to the conference/meeting. Approvals for overnight stays during multi-day conferences will continue to be based on the 60-mile rule.
Conferences/meetings beginning at 9:00 a.m.
Staff traveling 120 miles or more one way from their duty station is approved for lodging the night prior to the conference/meeting.
Conferences/meetings beginning at 9:30 a.m.
Staff traveling 140 miles or more one way from their duty station is approved for lodging the night prior to the conference/meeting.
Conferences/meetings beginning at 10:00 a.m.
Staff traveling 160 miles or more one way from their duty station is approved for lodging the night prior to the conference/meeting.
If the conference/meeting starts later than 10:00 a.m.
Mileage requirement for lodging approval will be modified as appropriate and will be detailed in the announcement information.

If you choose to use the hotel without qualification…
You will be required to book and pay for your own room out of pocket. To be reimbursed at the state rate through DHS, you must have prior supervisory approval.
In the event you choose to stay at another hotel…
You will also need to book and pay for the room out of pocket and be reimbursed at the state rate through DHS with prior supervisory approval.
If you choose to bring a guest…
You will be responsible for paying any additional fees incurred for their stay. If children are brought, you are not allowed to leave children unattended at the hotel.
